How to build a content plan that won’t die in the third month: a system of 4 types of headings, a template in Notion/Sheets, batch production and processing of content from one to five formats.

Most content plans die in the third month - not because they run out of bad ideas, but because the plan is built as a list of tasks, not as a system. The difference between a task list and a system is the difference between “come up with a post for tomorrow” and “take the next category from the queue.”
I built content plans for COLIZEUM (82M network coverage), NEMIFIST (TG channel from zero to 50K) and three current clients. The most common observation: 90% of problems with content are not about the quality of the text, but about the lack of a rubricator and a processing system.
A good content plan is not a schedule. This is a database of categories from which you can take a task any day and make a post without suffering.
1. System of rubrics: four types and their proportions
A category is not a “post topic,” but a type of content with a clear function. Four types:

If more than 50% of posts are sales, the audience leaves or becomes silent (ERR drops). If there are no sellers, it’s beautiful, but there is no ROI. The proportions vary depending on the niche and platform: in a B2B Telegram channel, 40% expert and 15% sales are allowed.
2. Formats by platform
One category - several formats for different platforms. This is not reworking, this is adaptation. A case with numbers becomes: a text post in TG, a carousel in VK, a short video in VK Clips.

3. Content plan template
Basic structure in Notion or Google Sheets. One row = one post.
- Publication date (+ production deadline date)
- Platform (TG / VK / Zen)
- Rubric (of four types)
- Format (text / video / carousel / survey)
- Subject/Heading
- Key message (one sentence)
- CTA (what the reader should do)
- Status (idea / in progress / ready / published)
- Responsible
In Notion I add View by status (kanban) and by platform (filter). In Google Sheets - conditional formatting: red = overdue, yellow = deadline today, green = published.
4. Batch production: content in one day
The most productive model is to set aside one day a week (mine is Friday) to produce all of the content for the next week. Context switching kills productivity: you can’t “come up with a post” between calls every day.
Batch day order: first the most difficult (video scripts or long texts), then the simplest (cards, photo captions). If there is an AI pipeline, I generate drafts through Claude, then edit them. Saving 30-40% of production time.

5. Content processing: from one to five
Each “big” material (case, guide, interview) is divided into 4-6 derivatives:
- Long text in TG - expert section
- Key points - carousel for VK
- One fact + opinion - short post
- Video script - VK Clip or Reels
- Audience question - engaging post
- Article - Yandex Zen (SEO version)
This is not “reposting the same thing everywhere” - it’s an adaptation. The tone, length, format are different. The key message is one. For NEMIFIST, I squeezed 6-7 posts on different platforms out of one case of blogger integration - and this gave a normal distribution of coverage without additional production.
6. Content plan KPIs: what to measure

ERR below 5% in the TG channel - the content does not resonate or the base is inflated. Saving is the most honest signal: if content is not saved, it is not valuable to the reader.
7. Summary
A content plan works when: there is a system of categories (not a list of topics), there is batch production (not daily stress), there is processing (one case = 6 posts). Without these three conditions, any plan dies in the second month, and the SMM manager burns out.
